Introduction

Welcome to Guru Vocal Studio. We are committed to providing an exceptional learning environment for all our students, and to ensure smooth operations and clarity, we have established these Terms and Conditions (T&Cs). These policies are designed to be fair, comprehensive, and to benefit both our students and our studio. By adhering to these guidelines, you help us maintain the high standards of service we aim to provide. Thank you for your cooperation and understanding.

1. Term and Semester Dates

  • Our term and semester dates are announced through our website and newsletters. Please refer to these platforms for the most up-to-date information. We encourage you to mark these dates on your calendar to stay informed.

  • Please note that Guru Music Studio runs on a 48 week year. There are an average of 4 lessons per month. During holiday cancellations and closings, the lessons are made up during the months that there are 5 weeks. (as we do not charge more for the months that there are 5 weeks, just the flat rate)

  • Lessons are typically scheduled for a duration of 55 minutes.

 2. Communication

We value clear and respectful communication. Here’s how we manage correspondence:

  • Studio Communication: All official announcements will be made via email, Whatsapp, newsletters, or our website.

  • Contact Hours: You can reach us during business hours (Monday to Friday, 9 AM to 6 PM). Calls or messages received outside these hours will be responded to the next business day.

  • Preferred Methods: Whatsapp is our primary mode of communication. Please avoid contacting us via social media for administrative matters.

3. Billing and Payments

  • Fees are calculated as an annual fee divided into 12 equal monthly payments, accounting for studio closures. 

  • All lesson subscriptions operate on a rolling monthly basis. This means that your subscription will automatically renew every month on the same date you initially signed up. For example, if you sign up on the 5th of May, your next payment will be processed on the 5th of June.

  • A flat rate is charged every month. It is automatically deducted regardless of absences or makeups.

  • AUTOMATIC PAYMENTS/DIRECT DEBIT is processed through the GoCardless or Stripe system.

  • Cash, and other payment methods are not accepted.

  • Payments that fail to process may incur a £12 late payment fee per instance.

  • Fee adjustments may occur annually. Notification of changes will be provided in advance.

4. Refunds Policy 

PLEASE NOTE, FEES ARE NON REFUNDABLE.

5. Tuition Termination Process

  • We require a minimum of 7 days’ notice prior to your next billing date to pause, cancel, or make changes to your subscription. This ensures we have time to update our scheduling and administrative systems accordingly.

  • If cancellation notice is given less than 7 days before your next billing date, the upcoming payment will still be processed, and the cancellation will take effect from the following month.

  • Termination notices must be submitted via email at team@gurumusicstudio.co.uk

6. Bad Weather Policy

In the event of extreme weather, lessons may be conducted online or rescheduled. We will communicate any changes promptly.

7. Sickness Policy

  • Students displaying symptoms of illness should not attend in-person lessons.

  • In such cases, please notify us as soon as possible. Virtual lessons may be offered as an alternative.

8. Absences

  • Student Absences: Notify us at least 48 hours in advance to qualify for a make-up lesson. No-shows or late notifications will forfeit the lesson.

  • Teacher Absences: In case of teacher unavailability, a substitute teacher will be arranged. If no substitute is available, the lesson will be rescheduled.

  • For cancelled lessons with sufficient notice, students will receive a make-up credit that can be used at their discretion, subject to availability. Make-up lessons are not valid for same-day cancellations or no-shows.

  • A maximum of two make-up slots per term can be scheduled.



9. Rolling Enrolment

Guru Vocal Studio operates on a rolling enrolment basis. Students are automatically re-enrolled each term unless we receive notice of cancellation.

10. Registration Fee

A non-refundable registration fee of £50 is required at the time of initial enrolment. This fee covers administrative costs and materials required to get you started at Guru Vocal Studio.

If a student chooses to cancel their tuition and later wishes to re-enrol, a new £50 registration fee will be required upon rejoining.


11. Photo and Video Policy

By enrolling, you consent to the use of photos and videos of students for promotional purposes (e.g., website, social media). If you prefer to opt out, please notify us in writing at the time of enrolment.


12. Behaviour and Code of Conduct

We ask all students to be respectful of their teachers, fellow students, and school property. Repeated disruptive or inappropriate behaviour may result in suspension or termination of lessons without refund.

13. Privacy and Data Handling

Your personal information is handled in accordance with UK GDPR guidelines. It is used solely for the purposes of school operations, communication, and administration. We do not share your information with third parties.

By enrolling in lessons at Guru Vocal Studio, you acknowledge that you have read, understood, and agreed to abide by these terms and conditions. It is your responsibility to regularly review these terms and conditions for any updates or changes.
